Job description

As the Office Coordinator for FM you are organized, friendly, assertive, and self-motivated. You are passionate about creating a great culture and ensuring the office and our teams run smoothly. As the first impression of our company for everyone who walks in the door, you set the tone for both our guests and team members. You are a problem-solver, strategic planner, project manager, and business minded individual who puts people first. Your role is crucial for maximizing the efforts of the FM team.

Core Duties & Responsibilities

People Ops

  • Oversee general office operations

  • Project manage People Ops initiatives, roadmap, and special projects

  • Coordinate domestic and international travel, including flight, hotel, and car rental reservations for team members

  • Oversee purchases for the team and office such as gifts, supplies, and equipment

  • Assist the People Ops team in a variety of functions

  • Assist the Executive team with scheduling, organizing and support of a variety of administrative tasks

Events

  • Plan, coordinate, and execute quarterly offsite events

  • Partner with non-profit organizations to plan quarterly team volunteer events

  • Establish and maintain relationships with vendors and venues

Technology

  • Maintain team hardware needs including new purchases, upgrades and repairs

  • Assist in selling extra equipment or supplies that are no longer needed

  • Manage company wide subscriptions and software agreements

  • Project Manage IT initiatives

Campus

  • Assist with campus projects and renovations

  • Oversee the general organization of the common office spaces

  • Welcome guests from the reception desk and assist visitors

  • Process all incoming mail and shipments

  • Coordinate management of the facilities (contractors, utilities, etc..)

Experience and Skills

  • Excellent attention to detail and accuracy

  • Strong verbal and written communication skills

  • Ability to manage multiple projects, priorities and deadlines in a fast-paced, time-sensitive environment

  • Strong sense of ownership and urgency

Job requirements

  • Strong work ethic, with the ability to deliver work on tight schedules

  • Subject matter expertise in G-Suite tools

  • Ease in giving and receiving feedback

  • Desire to work in a team-centered, collaborative environment

  • High professional standards - strong motivation for individual and organization success

  • Passion to be results-oriented and process driven

  • Ability to adapt as FM is growing and one or more of the job duties and/or responsibilities in this job description may change as well as the job title
